📖 What is GPDF?

GPDF is a design pattern and operating model for building governed, request-based business processes using structured data, modular orchestration, and rule-driven decisions.

It is designed for teams and organizations where business processes are currently managed through emails, spreadsheets, or informal approvals — and where traceability, auditability, and consistent decision-making are required.

GPDF does not replace enterprise transactional systems (ERP, ITSM). It operates as a governed decision layer for processes that fall outside those platforms.

🏗️ Architecture

GPDF organizes every governed process into six independent layers:

Layer Responsibility
User Defines who interacts with the process and in what role (Requester, Reviewer, Approver, Executor, Process Owner)
Data Single authoritative store for all requests, decisions, status changes, and evidence
Orchestration Automated workflows that enforce process logic, transitions, validations, and handoffs
Governance Business rules, approval matrices, and decision criteria managed as structured configuration data
Intelligence Optional AI-assisted analysis, recommendations, and contextual support
Output Notifications, reporting, dashboards, and audit logs

Every process follows a standard lifecycle: Intake → Decision → Execution → Closure.

🎯 Key Outcomes

  • ✅ Replacement of email-based approvals with structured, auditable decision flows
  • ✅ Full traceability from request intake to closure
  • ✅ Consistent execution through stage-based ownership and controlled handoffs
  • ✅ Scalable process design through configuration, not re-engineering

🧱 Core Principles

  • Single Source of Truth — Every process is anchored to one authoritative data store
  • Stage Ownership — Each lifecycle phase has a defined owner with clear responsibilities
  • Rule-Driven Decisions — Governance rules are managed as data, never hardcoded
  • Platform-Agnostic — Works on Microsoft 365, ServiceNow, Google Workspace, SQL/Custom, or any stack that meets the requirements

📂 Document Ecosystem

GPDF is structured as an ecosystem of three documents:

Document What You Get Audience Included Here
Public Overview What GPDF is, why it exists, core principles, architecture, proven use cases Decision-makers, stakeholders, anyone evaluating the framework
Full Framework Complete architecture, standardized components, lifecycle model, roles, metrics, anti-patterns, glossary Process owners, governance leads, analysts 🔒
Implementation Guide Step-by-step build instructions, data model (88+ fields), 101 test scenarios, 17 KPIs, platform mappings Process implementers, QA leads, platform administrators 🔒

🔒 The Full Framework and Implementation Guide are available upon request. Contact the author for access.

✅ Proven Use Cases

  • Financial Approval Process — Credit Memo governance
  • Credit Risk Evaluation — Credit Limit Review tracking
  • Initiative Intake & Evaluation — Innovation governance
